Terms and Conditions

The following are the Terms and Conditions of Service for GrowTennis (GrowTennis). All customers are required to accept these Terms and Conditions of Service prior to participation in all GrowTennis sessions

GrowTennis may, from time to time, review and update these Terms and Conditions, and reserves the right to amend or introduce any rules necessary to ensure the safe and efficient operation and financial viability of its facilities and programmes.



Sessions

Sessions are available according to times stated in the GrowTennis booking system. 

Sessions and instructors are subject to change with no prior notice.

We reserve the right to refuse entry to a session or advise a more appropriate session/course if any participant is found not to be of the correct age/ability, or is unable to complete a session/course due to being in the incorrect age/ability group.



Sessions - Bank Holidays

Coaching sessions will not take place on UK public bank holidays unless explicitly stated otherwise. 

If a lesson falls on a bank holiday, a replacement or rescheduled lesson will be offered. No individual credit or refund will be provided if a session is missed due to a bank holiday and a replacement has been offered.


Booking into sessions

Members may book a place on GrowTennis sessions for themselves or their child up to 7 days in advance.

Members will use GrowTennis’ booking system in order to book their place on a particular session. No other methods will be considered as acceptable forms of booking.

If there are no bookings on a particular session 24 hours before the start time of that session, then GrowTennis reserves the right to cancel the session.

If we do not reach a minimum number of participants, we will offer a merge with another session to ensure we can operate effectively. You will be notified a minimum of one week in advance of this change. If you cannot make the new day/time you can cancel your membership as per the cancellation policy.


Waiting lists

Each session will have a maximum number of attendees allowed. This is to ensure the quality of the session and the safety of all participants.

Once the maximum number of attendees is reached, a waiting list will be created and customers will be contacted if places become available.


Member Details Changes

You agree to advise us immediately of any change to the Members details held on our membership database.


Termination

You may terminate your membership at any time only by providing at least 30 days' written notice via email to mark.growtennis@gmail.com. 

Termination will take effect only once such written notice has been received. Failure to attend lessons, lesson cancellation, or any other form of non-attendance, does not constitute termination.

Your membership will remain active for 30 days from the date your termination notice is received, after which it will automatically terminate, provided all outstanding payments have been settled.

If written notice of termination is not provided, membership fees will continue to be charged. These payments are strictly non-refundable and cannot be credited toward future services.

GrowTennis reserves the right to suspend or terminate your membership with immediate effect if you behave in a way that breaches GrowTennis’ code of conduct.


Payment

Our direct debit scheme spreads the cost of 12 months of coaching over 11 monthly payments with a pause in August when the junior term time programme does not run (no need to cancel, we will pause this for you). 

Your payment details will be securely stored in our system for the duration of the membership. 

You are responsible for the payment of the membership. This is true even if the amount is debited directly by GrowTennis.

If the payment is late you will receive a reminder email from GrowTennis and access may be suspended.

If, despite us having notified you of a missed payment, further payments are missed, we reserve the right to, at our sole discretion, terminate your membership, upon having given you written notice of our intention to do so.


Direct Debit explained

Our coaching programme operates on an annual basis, with the total cost of 12 months of lessons divided evenly across 11 monthly direct debit payments. This means your monthly payment remains the same regardless of the number of sessions delivered in any given month.

Due to the structure of the calendar year, the number of sessions delivered each month may vary. Factors such as the number of weeks in a month, public holidays, and term dates can result in some months having more or fewer sessions than others.

The monthly fee is not calculated based on the number of sessions in any specific month, but rather on the total number of sessions delivered over the course of the year. Therefore, no refunds or prorated adjustments will be made for months with fewer sessions.

Over the course of the year, we will ensure that the full annual allocation of coaching sessions is delivered, taking into account holiday closures and any necessary schedule adjustments.

Clients will be provided with a termly or annual calendar outlining the scheduled coaching sessions. Any significant changes to the schedule will be communicated in advance.


Price changes

From time to time we may need to increase the price of membership. We will give you at least 1 full months' notice of any incoming price increase and will make it very clear when the price increase will take effect and how much your membership will cost after the increase. 

During this period, you will have your usual right to terminate your membership in accordance with the membership terms and conditions and rules. If you do not terminate the membership by the date given to you in the notice, then the price of your membership will be increased in accordance with our notice.

Refunds

Once paid, membership subscriptions will not be refunded for any reason. Membership periods may however be suspended (at the discretion of the management team) for the duration of a major medical absence / injury break, or other unforeseen circumstances, and resumed thereafter at no loss of time. Please note, this policy does not apply for minor injuries.

If membership is suspended, it will be for a maximum of 1 month per calendar year with membership automatically resuming the following month. Members cannot request multiple pauses within the same calendar year.

Disputes

Where possible all disputes will be prevented by open and honest communication between player, parent and coach. Where this is not possible, please put your dispute in writing to Mark Wilkins at mark.growtennis@gmail.com highlighting the issues you wish to raise. GrowTennis will then investigate the dispute and put in place processes to solve the dispute.

Pay-as-you-go bookings

GrowTennis monthly members and/or members of the general public can, at any point, book onto one of our sessions via our pay-as-you-go scheme, provided there are spaces available in the session.

The booking must be made via GrowTennis’ online booking system and payment will be taken at the time of the session.

Bookings made by GrowTennis monthly members will be given priority over pay-as-you-go bookings on all sessions,

Pay-as-you-go bookings cannot be transferred to anyone else.

Any pay-as-you-go booking cancellations must be made with more than 24 hours notice prior to the sessions start time, in order for the player to receive GrowTennis credit equal to 100% of the cost of the booking.

GrowTennis coaching staff will advise an attendee of a more appropriate session, or have the right to exclude a particular player from a session, if they do not have the right playing standard.


No-show policy

If a player fails to cancel their booking at least 24 hours prior to the start time of the session and then fails to attend the session, this will be considered a ‘no-show’.

A cancellation is only valid when a player cancels their booking to a particular session via GrowTennis’ online booking system, as this is the only way to open up that spot to other players who might want to book onto the session.

For players who are repeat offenders, we reserve the right to temporarily suspend online booking rights and/or to remove booking rights completely.


GrowTennis Monthly Members

Pay-as-you-go bookings

If a player is a ‘no-show’ to a particular session after having booked on it on a pay-as-you-go basis, then we reserve the right to not issue a refund for the session.


Holiday Camp referral offer

The FRIEND5 discount provides £5 off per person (referrer and friend) on a future GrowTennis Camp booking.

Offer applies to new bookings only and cannot be used retrospectively.

No refunds will be issued for bookings already made.

Spaces subject to availability. Offer valid while summer camps are running.


Photos and videos

After becoming a GrowTennis member, you agree to having your/your child’s photograph taken by GrowTennis at any time whilst taking part in the sessions. GrowTennis reserves the right to use any such photographs for press and/or promotional purposes. 

If you find an image or video of your child on our promotional channels (such as our website and social media pages) that you’d like us to remove, please email us at mark.growtennis@gmail.com and we will do so immediately.


Health

You confirm that you/your child does not suffer from health problems that would hinder exercise or prevent you/your child from engaging in exercise, or that would be detrimental or adverse to you/your child’s health, safety or physical condition if you/your child did exercise. In case of any doubt, you shall seek advice by a medical doctor who should confirm the ability to exercise.

GrowTennis shall have no obligation to perform a fitness assessment or similar testing to determine your/your child’s physical condition.

Hot Weather 

If the temperature is forecast to reach or exceed 30°C, or if an official heat-health alert is issued, GrowTennis may schedule additional water and rest breaks, relocate to shaded courts where possible, or cancel sessions in extreme or unsafe conditions.

Players must bring adequate water or hydration drinks to every session.

The use of high-SPF sunscreen, hats, and lightweight clothing is strongly advised.

Parents/guardians must inform the coach of any health conditions that may be impacted by heat, such as asthma or other medical concerns.

If a session is cancelled by GrowTennis due to high temperatures or safety concerns a make-up session or rescheduling option will be offered. If a player withdraws independently due to heat, and the session is still going ahead, no refund or rescheduling will be offered unless otherwise agreed in writing.

GrowTennis will communicate weather-related session changes at least 1 hour before the session, where possible. It is the responsibility of participants (or their parents/guardians) to check email communication before attending.

By taking part in any GrowTennis activity, players (or their guardians) acknowledge the inherent risks of exercising in hot weather and agree to follow the coach’s guidance at all times.

GrowTennis reserves the right to remove any player from a session if they appear unwell or are not adhering to heat safety instructions.

Cancellations

It is our philosophy to try and run coaching sessions wherever possible and therefore we generally ask that participants attend unless they are notified otherwise. At latest, you will be notified 30minutes ahead of the session commencing (both individual and group sessions). Cancellation of one group lesson does not necessarily mean that other lessons will be cancelled that day. If you choose not to attend on doubtful days then you risk missing the class if it takes place. 

Cancellations by Participants: Participants must provide at least 24 hours' notice for Individual cancellations. Failure to attend an individual session with no notification or notification after 24 hours’, to the coach will result in a charge of 100% of the lesson fee.

Refunds will only be issued within 14 days of the course booking (coaching programme or holiday camps). After 14 days, if you are booked onto a coaching programme or holiday camps, and you are unable to attend a session, you will not be entitled to a refund or credit.


Liability

GrowTennis cannot accept liability for any claims, damages, costs and demands in respect of death or personal injury arising from the use of the facility and our sessions by the customer pursuant to this agreement except insofar as such death or personal injury arises from negligence on the part of the GrowTennis staff.

GrowTennis cannot accept responsibility for the loss of or damage to personal property incurred whilst on the premises.


Intellectual Property

All coaching materials, including lesson plans, instructional content, and proprietary techniques, are the intellectual property of GrowTennis and may not be reproduced or distributed without written permission.


Miscellaneous Terms

In the event that a single term, condition or rule of membership is found to be unenforceable, all other terms, conditions and rules shall remain unaffected.

If we take no action or let you off any breach of this agreement or give you extra time to pay or comply, it will not stop us enforcing the terms of this agreement strictly at a future date.

You agree that your first and last name/your child’s first and last name will be shared with Thame Tennis Club for the purpose of confirming to the club who has access to their premises


Codes of Conduct

Player Charter

At GrowTennis, we are committed to creating a fun, safe, and respectful environment where all players can develop their tennis skills and character. By attending our sessions, all players agree to the following expectations:

1. Respect for Coaches and Staff
Players must follow the instructions of GrowTennis coaches and assistants at all times. Coaches are there to support your learning and safety.

2. Positive Behaviour
Aggressive, threatening, or disrespectful behaviour towards coaches, assistants, or fellow players will not be tolerated under any circumstances.

3. Respect for the Environment
Players are expected to treat the courts, facilities, and equipment with care, and to leave the area as they found it.

4. On-Court Conduct
Poor behaviour such as swearing, racket throwing, ball abuse, or ignoring instructions may result in a warning, and in serious or repeated cases, removal from the coaching programme or club.

5. Zero Tolerance for Bullying
GrowTennis has a zero-tolerance policy on bullying. Any incidents will be taken seriously. Parents or guardians will be informed if their child is involved, and continued poor behaviour may result in the player being removed from the programme.

6. Effort and Attitude
All players are expected to try their best during sessions and to maintain a positive, respectful, and coachable attitude - regardless of their skill level.

7. Teamwork and Support
We value good sportsmanship and teamwork. Players should support one another, show respect on and off the court, and celebrate each other's progress.

8. Punctuality and Preparedness
Players should arrive on time, dressed appropriately for tennis, and with everything they need for the session (e.g., racket, water bottle, suitable footwear).

9. Health and Safety
If a player feels unwell or is injured, they must let a coach know immediately. Players must also behave in a way that ensures the safety of everyone at the session.

By following this Charter, we can make sure every player at GrowTennis enjoys their experience, improves their game, and feels part of a positive and respectful community.


Parents Charter

At GrowTennis, we believe that parents play a vital role in supporting their child’s enjoyment, development, and success in tennis. Your encouragement and example help create a positive environment where young players can grow — both on and off the court.

By being part of the GrowTennis community, we ask for your support by following these key principles:

1. Praise Effort Over Outcome
Recognise your child’s hard work, attitude, and progress rather than focusing solely on wins, rankings, or results.

2. Promote Independence
Encourage your child to take responsibility - for example, packing their own tennis bag or walking themselves to the court. Avoid doing things for them that they are capable of doing themselves.

3. Encourage Internal Motivation
Support your child’s love for the game by helping them feel competent, in control, and connected - rather than relying on external rewards or pressure.

4. Let Them Play and Learn
Try not to watch every session or match. Giving your child space to explore and make mistakes fosters confidence, independence, and resilience.

5. Reinforce Respect and Appreciation
Help your child understand the importance of showing respect to coaches, fellow players, opponents, and themselves - in both victory and defeat.

6. Focus on the Positives
Celebrate effort, learning, and small improvements. Positive reinforcement builds self-confidence and enjoyment.

7. Be Consistent in Words and Actions
Children respond well to consistency. Align your messages and behaviour with the values promoted at GrowTennis, especially around discipline, sportsmanship, and effort.


Coach Charter

At GrowTennis, our coaches play a central role in creating a safe, inspiring, and development-focused tennis environment. We hold ourselves to high professional and ethical standards, aligned with the LTA’s Code of Conduct.

All GrowTennis coaches commit to the following principles:

1. Live Our Core Values
Coaches must represent GrowTennis by consistently upholding our core values in all aspects of their work:

  • Energy - Bring enthusiasm and passion to every session.

  • Trust - Be reliable, honest, and accountable.

  • Quality - Deliver high standards in planning, delivery, and conduct.

  • Progression - Strive for continuous improvement - in players and themselves.

2. Create a Positive Learning Environment
Coaches will ensure that all players feel supported, challenged appropriately, and encouraged to develop both as athletes and individuals.

3. Commit to Professional Development
Coaches will take responsibility for their growth by seeking regular CPD (Continuing Professional Development) opportunities and engaging fully in GrowTennis mentoring programmes.

4. Respect the Individual
Coaches will treat every person with dignity, fairness, and respect. We get to know the person, not just the player, and tailor our coaching accordingly.

5. Engage with the Wider Community
Coaches will be approachable and communicative with parents, and will actively participate in events such as open days, competitions, and education sessions.

6. Prioritise Player Welfare and Safeguarding
Coaches will always act in the best interest of the child or player. They must follow GrowTennis safeguarding procedures, report any concerns immediately, and ensure a safe environment for all.

7. Lead by Example
Coaches will model professional behaviour on and off the court, including punctuality, preparation, appearance, and respect toward others.

8. Promote Inclusivity
Coaches will ensure that all players - regardless of age, gender, background, ability, or identity - are made to feel welcome, included, and able to participate fully.

9. Communicate Effectively
Coaches will communicate clearly, respectfully, and appropriately with players, parents, and other staff. They will provide constructive feedback and be open to receiving it as well.
